The following guide will help you estimate the costs for your scanning. It should be noted that for high volumes or more accurate pricing we recommend that you contact us for either a brief chat or to arrange a site survey.

Document Estimator: The following will help act as a guideline to estimate your requirements. Please complete the boxes with the number of each type of file you have - be careful not to double count items (e.g. if a lever arch file is inside a double breasted filing cabinet then count either the number of cabinets or the number of files).

We now need to know how many of each size of documents you have and also how many are double-sided.

There are 2 columns to complete below (white boxes). Please estimate the percentages of each size e.g. if they are all A4 enter 100 into column 1 "% of Total". The totals will then show in column 2 "Subtotal".

You then need to estimate how many of these are double sided in column 3 "% double sided".

We now need to know how much document preparation will be necessary before scanning. This includes removing staples, paperclips and paper wallets or straightening corners of pages.

Indexing can be as simple or as complex as you need. We can mirror your existing paper indexing methods as accurately as you like but for the purposes of this estimate we will try to keep it simple.

We now know how many images you have. Usually there will be a requirement to index a file which is made of multiple pages. For example customer records could contain approximately 30 pages each and will be indexed by 20 characters per customer. Invoices may each contain 1 page and be indexed by an 8 character ID.
